Job description

Instapro Group is currently looking for a facilities assistant for our office in Aix. You will report directly to the legal and facilities manager and are available to work part-time (20 hrs/week) with the following work schedule: Monday to Friday (9am to 1pm).

Your role includes the following:

  • Welcome and advising visitors to our premises
  • Manage our hybrid space reservation software
  • Check the general condition of the facilities, detect, repair ordinary damage and carry out minor manual maintenance work
  • Organize, notify and ensure that the safety of people and property is in line with the work done by external companies
  • Receive and manage letters, parcels, receipts and deliveries and ensure that they are sent to the relevant services
  • Organize, order and monitore stocks of furniture, supplies and consumables
  •  Issue and follow up employee and visitor badges
  • Prepare meeting or reception rooms for events in compliance with a schedule established and sent ahead of time
  • Assemble small items of furniture and equipment
  • Be able to propose a workspace arrangement to employees in the event of a change in need or a change in the existing configuration.
  • Occasionally move furniture and equipment between different services
  • Organize office social events on our premises (ordering and finding caterers, shopping, setting up and decorating the room, etc.) as well as visits by European employees (assistance, booking restaurants, etc.) in order to offer them the best possible experience

The tasks described above are merely indicative and not limitative. They can evolve according to the business of the service and the company.

Job requirements

  • At ease with IT tools
  • Organized and able to manage priorities
  • Good interpersonal skills and customer service skills
  • Good notion of English is required (B1/B2 level)
  • Minimum electrical qualifications wanted: BR - B2 V - BTA

Do you offer remote work?

You need to already be based in one of our office locations or be willing to relocate to one of them.

We have a hybrid-work policy, which means that it’s up to you whether you prefer to work onsite or feel more comfortable working from home. However, in some roles, we might be looking for people living in the same region. You can have a look at what locations we are active in via the button below.

Do you offer a relocation package and visa sponsorship?

Yes and yes.

For applicants relocating to our German or Dutch offices, we provide financial relocation assistance and step-by-step guidance to support you in your relocation journey.

We also provide visa sponsorship for our German and Dutch offices. Currently, visa sponsorship for the French office is not possible.

What does an interviewing process generally look like?

Our interviewing processes can slightly differ depending on the department.
